This policy (together with our terms of use at and any other documents referred to on it) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

Information we may collect from you


We may collect and process the following data about you:


Information that you provide by filling in forms on our site This includes information, such as name, email address, telephone number and address provided at the time of registering to use our site, subscribing to our service (whether directly or via a third party service provider), posting material or requesting further services. We may also ask you for information when you report a problem with our site.


  • If you contact us, we may keep a record of that correspondence.
  • We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them (see ‘Surveys’ below).
  • Details of transactions you or your customers or a third party on your behalf carry out through our site and of the fulfilment of those orders.
  • Details of your visits to our site including, but not limited to, traffic data, location data, weblogs and other communication data, whether this is required for our own billing purposes or otherwise and the resources that you access.


We are also working closely with third parties (including, for example, business partners, subcontractors in technical, payment and delivery services, search information providers, and credit reference agencies) and we may receive information about you from them.


We may monitor, record, store and use any telephone (incoming or outgoing), email or other communication with you, your customers or any third party acting on your behalf or any party providing goods or services to us, you, your customers or to any third party acting on your behalf, in order to check any instructions or information given to us, for training purposes, for crime prevention and to improve the quality of our customer services.


IP addresses and cookies


We and our third-party tracking service may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our partners This is statistical data about our users’ browsing actions and patterns, and does not identify any individual.


For the same reason, we may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer’s hard drive. We do not link the information we store in cookies to any personally identifiable information you submit while on our site. We use both session ID cookies and persistent cookies. A session ID cookie expires when you close your browser. A persistent cookie remains on your hard drive for an extended period of time. They help us to improve our site and to deliver a better and more personalised service. They enable us:


  • To estimate our audience size and usage pattern.
  • To store information about your preferences, and so allow us to customise our site according to your individual interests.
  • To speed up your searches.
  • To recognise you when you return to our site.

Web Beacons


Our web pages contain electronic images known as web beacons (sometimes called single-pixel gifs) and which are used along with cookies to compile aggregated statistics to analyse how our site is used and may be used in some of our emails to let us know which emails and links have been opened by recipients. This allows us to gauge the effectiveness of our customer communications and marketing campaigns.




Our web site includes social media features, such as the Facebook Like button and widgets, such as the ‘Share this’ button or interactive mini-programs that run on our site. These features may collect your IP address, which page you are visiting on our site, and may set a cookie to enable the feature to function properly. Social media features and widgets are either hosted by a third party or hosted directly on our site. Your interactions with these features are governed by the privacy policy of the company providing them.


Where We Store Your Personal Data


The data about that we collect from you or from third parties mentioned above may be transferred to, and stored at, a destination outside the European Economic Area (EEA). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff maybe engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy. All information provided to us is stored on our secure servers. Any payment transactions will be encrypted. We do not hold or process any credit card details or payment information on our servers. This information is processed by our transaction partners on their secure servers. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.


Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.


Uses made of the information


We use information held about you in the following ways:


  • To allow you to register for an account.
  • To allow you to purchase products and services from us (whether directly or via a third party).
  • To ensure that content from our site is presented in the most effective manner for you and for your computer.

If you are an existing customer, we will only contact you by electronic means (e-mail or SMS) with information about goods and services similar to those which were the subject of a previous sale to you.


If you are a new customer, we will contact you by electronic means only if you have consented to this.

If you do not want us to use your data in this way, please un-tick the relevant box situated on the form on which we collect your data.


Disclosure of Your Information


We will share your personal information with third parties only in the ways that are described in this privacy policy. We will not sell your personal information to third parties.


We may disclose your personal information to any member of our group, which means our subsidiaries, our ultimate holding company and its subsidiaries, as defined in section 1159 of the UK Companies Act 2006.


We may disclose your personal information to third parties:


  • Such as a credit card gateway company to bill you for goods and services. When you sign up for our services (whether directly with us or via a third party), we will share your information only as necessary for the third party to provide that service.
  • Where a third party is dealing with us on your behalf.
  • When we use business partners, suppliers and subcontractors for the performance of any contract we enter into with them or you.
  • When you choose to use our online service to repair or maintain your computer we will ask you to download a java applet which will allow us to access your computer and your files for these purposes. We will only access those areas of your computer necessary to provide our service
  • In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.
  • If Inbay or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.
  • If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, including in respect of third parties to whom we provide services indirectly to you, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property, or safety of Inbay, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of quality control, fraud protection and credit risk reduction.


Your Rights


You have the right to ask us not to process your personal data for marketing purposes. We will inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your data. You may also follow the unsubscribe instructions contained within each of the marketing emails you receive.


We will send you service-related announcements on rare occasions when it is necessary to do so. For instance, if our service is temporarily suspended for maintenance, we might send you an email. Generally, you may not opt-out of these communications, which are not promotional in nature. If you do not wish to receive them, you have the option to deactivate your account.


Our site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.


Access to Information


The Data Protection Act 1998 gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.


If your personally identifiable information changes, or if you no longer desire our service, you may correct, update, delete/deactivate it by making the change in your member account or by emailing our customer support at [email protected]. We will respond to your request to access within 60 days.


We will retain your information for as long as your account is active or as needed to provide you services. We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.




From time-to-time we may provide you the opportunity to participate in surveys via email. If you participate, we will request certain personally identifiable information from you. Participation in these surveys is completely voluntary and you therefore have a choice whether or not to disclose this information. The requested information typically includes contact information such as your name, location and email address, and demographic information such as your age or occupation.


We use this information to monitor site traffic or personalize the site (in the case of anonymous information collected in surveys) or to send participants an email offers.


We may use a third party service provider to conduct these surveys. We will not share the personally identifiable information you provide through a contest or survey with other third parties unless we give you prior notice and choice.




We sometimes post case studies/customer testimonials/comments/reviews on our web site and other marketing materials which may contain personally identifiable information. We gather testimonials and case studies from user feedback surveys and other sources. If we gather feedback from a survey we ask for the customers’ consent via a validated tick box prior to posting the testimonial. We may also re-post customer testimonials/comments/reviews gathered from third party web sites such as but not limited to Twitter and Facebook.
